Break-fix maintenance produces a comfortable-looking spend line: you pay when something breaks, and nothing more. What that line does not carry is the shift that stopped, the delivery that missed its window, the overtime spent recovering, and the slow erosion of asset life caused by running equipment past its service interval.

What planned readiness actually requires

  • An asset register that matches reality: every critical asset listed with its location, service interval, warranty position, and named owner. A register nobody has walked in a year is a document, not a control.
  • Criticality ranking: not every asset deserves the same regime. Rank by what stops if it fails, then spend the planned-maintenance budget in that order.
  • A work-order discipline: every job raised, assigned, timed, and closed in one system — including the informal fixes that today happen over a phone call and leave no record.
  • Spares held against downtime, not against price: the part you hold for a critical asset is insurance, and it is priced against a stopped shift, not against a catalogue.

The three numbers that show whether it is working

Track planned-versus-reactive work-order ratio, mean time to repair on critical assets, and repeat failures on the same asset within ninety days. The first tells you whether the regime is taking hold; the second whether the response is competent; the third whether anyone is fixing causes rather than symptoms.

Housekeeping and safety are part of the same system

Cleaning cycles, waste handling, pest control, and safety inspections are frequently bought separately from technical maintenance and then coordinated by nobody. On a shared site they fail as one system: a missed cleaning cycle in a shared facility produces downtime measured in lost worker-days, exactly the way a failed chiller does.
